How to Choose a Company to Answer your Customers for You
If a business’ products require a lot of technical support, outsourcing the job of providing that support can be one of the best moves the business makes. Using dedicated technical support companies allows current customers to get their support questions answered in a timely and efficient manner; while freeing up your IT staff that could be doing things that directly affects your company's productivity, such as maintaining your network and fixing slow logon issues.
When looking for technical support firms, a business first has to ask itself a few questions. Are people likely to be asking the same question over and over? Is the support for a product that has a limited number of possible questions? Or is the scope of the needed support wide and ranging? Armed with the answers to these questions, the business can narrow down the candidate companies and choose one that can fill its needs well.
If the questions are likely to be very repetitive, or the scope of possible issues is small, it doesn’t require a huge amount of expertise on the part of the technical support company. As long as their employees can read a script, you’re pretty much good to go. Outsourcing these types of support tasks to overseas firms can work out fairly well, but businesses should take care to check up every so often to make sure the experience of calling “their” support staff isn’t frustrating.
For products that get a wide variety of assistance requests, or has to deal with complex technical issues, it is usually better to outsource their tasks to technical support firms in the same country as the business’ customer base. Customers with complex requests need to be able to speak with support personnel who are very fluent in the native language, so both sides can get their points across with accuracy and speed. Many companies who get complaints about their tech support have made the mistake of hiring people who simply cannot communicate effectively with their customers.
In any case, businesses need technical support companies that can intelligently answer questions. If an issue comes up that isn’t on the script, techs should be able to use their brains to figure out a solution. Techs also have to be polite. Even if it’s the millionth time they’ve told someone to “plug it into the wall,” they have to be able to handle the request with professionalism; otherwise the business will get a negative reputation when it comes to service and support.
When choosing a technical support company, try to find out the names of some other companies that use the same firm. Then check out reviews of the hiring company’s support to see how the support firms' services are, from a customer’s perspective. Choose a firm that gets their clients’ “support departments” consistently high ratings.
